How do I train my ambassadors?

Training is a vital step in building a successful ambassador programme. Once you’ve recruited your team, training helps them feel confident using TAP, sets clear expectations for their role, and gives them the skills to engage effectively with prospective students.

1. Ambassador Training Center

When you’re ready to onboard your ambassadors:

  • Go to Ambassadors > Manage > Invite ambassadors in the admin dashboard.

  • Copy the template invitation text and send via email, or send directly from the dashboard.

This invitation includes:

  • A link to the Ambassador Training Centre

  • A link to download the TAP mobile app

  • Additional information from our Knowledge Base

Ambassadors will then complete short training videos and quizzes covering:

  • Setting up their profile

  • Using Chat safely

  • Uploading content

  • Answering FAQs

Afterwards, they’ll be prompted to download the TAP app and create their profile.


2. Running your own ambassador training

You may also want to run your own training sessions alongside TAP’s training centre. Plan for at least 45–60 minutes so you can cover expectations clearly and allow time for questions.

Suggested session flow:

  • Role overview: explain what it means to be an ambassador, how the role supports your marketing/recruitment activity, and that they are considered part of your team.

  • Role play: in groups, ambassadors practise answering common prospect questions, such as:

    • Why did you choose your course?

    • Why did you choose this institution?

    • What’s it like living on or near campus?

    • What do you do outside your studies?

  • Content brainstorming: encourage ambassadors to suggest content ideas (photos, videos, FAQs).

  • Safeguarding: cover institutional safeguarding policies and TAP tools (e.g. flagging conversations).


3. Key training topics to cover

  • Be engaging: ambassadors should keep conversations flowing by asking prospects questions, not just responding.

  • Content creation: show them how to capture authentic photos and videos, edit using their phones, and align with your institution’s brand guidelines.

  • Inclusivity: ambassadors will engage with diverse prospects. Encourage them to be open, respectful, and mindful that their experiences may differ from others.

  • Confidence: reassure them they are not expected to know every answer — it’s best to involve staff or other ambassadors when needed.


4. Ongoing and refresher training

Training doesn’t end after onboarding. To keep ambassadors engaged and effective:

  • Run top-up sessions during the year to reinforce expectations and share feedback.
  • Hold yearly refresher training for returning ambassadors.
  • Share impact data from the TAP dashboard to highlight their value.
  • Meet ambassadors 2–4 times a year to keep them motivated and connected. Use these sessions to share wins, show impact, gather feedback from their prospect conversations, and brainstorm ideas.
  • Organise informal catch-ups — a coffee or pizza lunch goes a long way!
